The data from the membership form that we hold about you is currently held in the following places, this list will be simplified and policy amended accordingly when completed:

– The old database up to and including 2016 is on previous and current membership secretaries computers. This will be simplified into one copy on our website in a secure area.

– The master spreadsheet from 2016 lives on current membership secretaries computer. This will be moved to our website in a secure area.

Our general rule is that we will ONLY share your details with people within the club who need that data to be able to do their job or help us run the cricket club, we won’t ever share your details generally with the public or other organisations without direct permission.

If we openly display any of your details such as phone numbers or email addresses we will seek your direct permission first. An example of this would be handbooks and League contact lists. This would only apply to very few and normally only those with roles in the club.

Our Data Rules are:
– For junior members contact details and child’s medical condition is shared with the age group coaches or managers
– For junior membership we will delete your data if you stop being a member after
6 years. For adult members we will ask if you want to stay on database as some although not being members want to keep in touch via our email communications.
– Your email address will be used for general communication from the club, an unsubscribe option is available on the emails
– For junior members your age group managers/coaches will enter contact details (phone number and email address) into apps like “Teamer”, Phones, as well as their own spreadsheets. They will use this data to communicate with you about topics related to your child’s membership at Sunbury CC.
– For adult members captains and vice captains will enter contact details (phone number and email address) into apps like “Teamer”, Phones, as well as their own spreadsheets. They will use this data to communicate with you about topics related to your adult cricket at Sunbury CC
– A number of committee members will hold phone numbers, email addresses and sometime home addresses as required by the roles they perform
– License rules mean that we have to keep a list of members names and addresses at the club behind the bar in the office.
– We use a bulk email product which holds all our email addresses.
– We can list what data we hold if you request from membership secretary (adults or juniors)
